The day before
- The meeting is complete: every Frame in order, with its Content.
- The leader has reviewed it and written the Teleprompter script for each Frame.
- Every scripture has its text; every PowerPoint and video opens.
- Song words and lyrics licences checked.
- Settings → Data / Backup → Back up now.
60 minutes before
- PC on mains power; Windows updates paused; notifications off.
- FrameDecks open; FrameDecks camera ready in the command bar status.
- Webcam, microphone and projector connected.
- Meeting app (Zoom / Teams / Meet) or OBS open, with FrameDecks as the camera.
- Projector: Share Window → Presentation window on the projector → full screen.
30 minutes before
- Phone remote on; remote operator connected (Connected shown).
- Walk through the first Frames with Go Live; check the projector and the meeting app's self-view.
- Teleprompter open where the leader can see it (docked in the Studio, the Teleprompter window on a second screen, or on the leader's phone).
- Leader on Zoom or Teams from the same PC: Teleprompter overlay open (Shift+R). Check that it sits over the participants (not over the leader's own video or the chat they need), that it is in the right mode (usually Meeting, key 3), and that Stay on top (📌) is on: click into Zoom and the overlay should stay in front.
- Spotlight works: press Alt+Space (or the shortcut shown in Settings → General → Window and tray) with Zoom in front.
- Agree who controls Next (PC or phone) and the hand signals.
10 minutes before
- Opening Frame live (for example, a countdown Timer or Welcome).
- Black screen, Freeze and Annotate all off (the button reads Live tools ▾).
- Phones on Do Not Disturb; screens set to stay awake.
During the service
- Follow the leader's pace.
- Freeze before changing files or windows on the PC.
- Keep this checklist's emergency card in view.
After the service
- Hide all; end the meeting or stream.
- Back up now.
- Save reusable Frames as templates; export the meeting to Excel if it should be kept.
- Write down what to improve next week.
Emergency card
Cut along the line and keep it beside the PC.
| If… | Press | On the phone |
|---|---|---|
| Anything wrong is on screen | Esc (Hide all) | HIDE ALL |
| The screen must go dark | K (Black screen) | BLACK SCREEN |
| You need time to fix something | F (Freeze) | FREEZE |
| You need a message on screen | Live tools → Emergency screen | Advanced remote → Emergency |
| Ready again | Select the Frame → T (Go Live) | NEXT FRAME / PREVIOUS FRAME |
Nothing above deletes anything. When the problem is solved, put the right Frame back with Go Live.
